Supporting the festival?

If you are a workshop leader, exhibitor, festival volunteer, or supplier, you can find general information here to make your time with us smoother.

Information for Partners and Exhibitors

Health & Safety Check-in

You must read and acknowledge the information on our Health & Safety Check-in link. You will need to do this in the week before the festival. All partners visiting the The Guildhall in-person will need to complete this before they can continue.

Risk Assessment Requirements

You are required to assess and mitigate all risks associated with your stand, stall, activity, or workshop. Generally, your risk will fall into two categories:
General risk

Including expo stall that has low risk activity and setup, and workshops or insight session that are using audio visual equipment, laptops, pens, pencils, paper.

For this risk you can download and use our standard risk assessment, adding any further details specific to your stall or activity. You can also send a risk assessment you have already prepared, as long as it it specific to this event and your stall and activity.

Elevated risk
Including crafting, cutting, the use of tools, physical activity, or working with vulnerable groups. For elevated risk, we will need to see that you have identified and mitigated the risks associated with you stall and activities. This can be sent using your own template, or you download our template using the link below.

Safeguarding and Photos

We adhere to strict safeguarding procedures, as you would expect from an educational programme provider.

Lanyards

All event partners and attendees must collect an appropriate lanyard and it must be worn throughout the day. This is so our security team know that everyone on site is know to us and is meant to be there.

Safeguarding Contact

If you notice something of concern, whether it be a young person’s actions or a person you suspect does not have permission to be at the festival, you can report this in the following ways:

  • Ask a nearby teacher if the young person is with them and report your concern.
  • Tell your nearest security guard or festival team member if you suspect someone does not have permission to be there.
  • You can also call the safeguarding and event manager directly on 020 3834 7735.

Photography and Recording is not permitted

Exhibitors, partners, and visitors are not permitted to take photos or recordings of young people attending the festival.

You may take photos of your own team, perhaps at the start of the day.

Official Photography

The London Careers Festival employs an official photographer who keeps track of who has and has not given consent. This means that the City of London Corporation is responsible for permissions and tracking.

The official photographs and videos will be made available via your festival contact after the festival.

Deliveries and Parking

In general, you will be required to carry your items and equipment with you or arrange for them to be delivered to our loading bay in the week before the festival.

Deliveries and collections

If you do have items delivered, you will also need to arrange for collection, or take any remaining items with you. Your event contact will be responsible for getting your items from the loading bay to the event space. This may not be the festival team directly.

If you are supporting the London Careers Festival as a workshop partner or a showcase exhibitor, you may find the answers to these questions useful.
I'm an exhibitor, do I need to provide a risk assessment?

Yes. You will either need to confirm that the risks on our general risk assessment apply, or, if you will run activities that are not covered, you must add those risks with ratings and mitigations. See the Risk tab above.

Having a diversity of company representatives is encouraged. Your festival contact or the festival team directly will need to know the names of all people attending. An official exhibitor lanyard must also be worn.

The Guildhall does not have a public car park. It is best to travel by public transport. Event collateral can be delivered to The Guildhall, see the Deliveries tab above.

No. There are safeguarding rules and procedures that are described on the Safeguarding tab above. You will also be given a number for the festival’s safeguarding contact.

Yes. Your company can choose to sponsor specific elements, for example, career workshops for those with additional needs, or sponsorship of the website and newsletters in order to reach teachers and schools. You can view the sponsorship menu here: [TBC]

Representation Matters

Part of inspiring and supporting young people to learn and be excited about your industry is to show them that people who look like them and have their interests are already achieving in industry.

The best way to showcase this is to have a selection of volunteers from your company that connect with the young attendees. That might include: 

Different ages. There is value in both the insights of an experienced team member and the recent experiences of a younger team member.

Different backgrounds, ethnicities, heritage, and protected characteristics. London’s people are diverse and so are the attendees at the festival. Aim to represent a variety. You may also choose to challenge stereotypes within your industry.

Different routes to employment. To support young people to make an informed choice about entry and progression routes, consider involving team members that are on differing career journeys. For example, the Level 3 apprentice who is now on the leadership pathway, or the person with a ‘squiggly career’ or who made a pivot – this is valuable insight.
